Creating Templates for Iscriptor

Templates, when used correctly, can significantly increase production and reduce turn around times.  Formatting and presentation are standardized across all users, and repetitive text entries are reduced.
Three Parts to a Template Templates can only be created by an administrator.  
There are three parts to creating a template:  
1) affiliate management
2) header/footer creation
3) body text creation.

Likewise, there are three different applications that require information.

Setting Up the Affiliate for Templates Report types, report type priorities, signature blocks and the MT fields are all assigned as part of affiliate management.  This is done by logging in to your website as an administrator and going to Manage Affiliates.
Managing Report Types for an Affiliate Select an affiliate and then scroll to the bottom of the screen and click on Manage Report Types Interface.

You will see a list of report types currently available.  Here you can assign additional reports, assign priorities and signature blocks and route specific report types to QA.

Assign Report Type Priority
Priorities range from 1 to 99, with 1 being the highest.  99 is normal priority.  Type in the corresponding priority in the box.

Assigning Signature Blocks
Signature blocks are used to minimize manual input, allow electronic signing online and prevent signature blocks from breaking on page breaks within a documents.  To assign an automatic signature block click on the blue Select Signature Block and select from the list.

Route Specific Report Types to QA
Each work type can be automatically routed to QA if desired.  To route to QA check the box.

Selecting Additional Report Types for the Affiliate
To add additional reports click on Select Report Types.  Check each report type you wish to use for this particular affiliate, then click Update.

Choose MT Fields
MT fields are text fields that are associated with each job, and are useful for automatically filling text fields within documents, job identification and searches.  Once entered in the MT header screen, MT header fields are automatically placed in headers, footers and body text, as determined by the template design.  

In the Affiliate Profile screen scroll to the bottom and select Set MT Fields.

Here you will see available MT header fields.  Select the fields you want to be available for any MT assigned to this affiliate.  Checking the Required box will require that field to be completed before the MT can move to the Compose screen.  The appearance of the field, or the field title, can be changed by typing in the Displayed Name box next to the header field.  Report Type is always a required MT field.

Click Update to save.
Header/Footer Templates (global templates) Header/Footer templates control all document margins, fonts and header and footer text, as well as  formatting and placement.   These settings override any settings created by an MT, or in Text Body Templates.  These “server” based templates can be changed for any affiliate by an administrator from any location running the Intrascript software.  Each affiliate requires a default template be created.  A default template controls the fonts, margins and header and footer placements within any document that does not have a report type assigned to it.
Create or Change a Header/Footer Template To create or change a header/footer template open the Intrascript program and login as an administrator.  Then select Change Report Template at the bottom left of your screen.

Add Data and Format a Template From the drop down box select the report type you wish to format.  Leaving the boxes blank will select the default template.  Then select Get Template.  Report types must already be defined for the affiliate.

The fields selected for headers and footers must coincide with the MT fields selected for the affiliate.  The MT fields entered in a job will populate the header and footer fields at final printing.  To add a field to the template, check the box next to the field you wish to use and drag the field with your mouse to the area on the page you want the field to print.  Font size, bold and italics can be selected for each field.  The display label can be changed by typing into the label box.  Set the global fonts and margins in the boxes provided.  To create a different header or footer for pages other than the first page, check Create 2nd Header, then click Save & Close.  You will have the same options available to set formats for subsequent pages.

Each report type that requires formats or fields different from the default template requires its own header/footer template.  Report types can be associated with affiliates, as well as with specific doctors within an affiliate.

Building the Body Text - The Final Stage The final part of a template is the body text template, which is created in the Iscriptor program.  This is the part of the template that controls specific language, text placement (exclusive of headers and footers), and placement of MT fields within the body text.  Fonts and margins set in this document will NOT change the global fonts and margins set in Intrascript, unless that option is chosen in the Header/Footer template.  The purpose of using templates is to minimize repetitive typing of data and to standardize presentation.
Creating an Iscriptor Body Template To create a body template for a report type login to Iscriptor as an administrator.  Then go to Tools and then to Template Manager.

Select the affiliate, the report type and the dictator (leave dictator blank if the report is generic to affiliate).  Word 2003 is opened and you will see the Intrascript tool bar.

You can type the text you want here directly into this document, you can import an existing Word 2003 file, or you can copy another, existing template.  To place text fields in the document click on Insert Tag and then select the field you wish to use.  These fields must correspond the MT Fields assigned to the affiliate.

Text fields are depicted by <…>, and will be populated when the file is created or printed.  

To save the template, click Save Job.

MTs will not see actual data in the text fields when transcribing in a template.  Header and footer information will appear on the documents being transcribed, but the placement will be justified right.  The final document will place the header and footers correctly in the document

DON'Ts
Aligning text or paragraphs requires using tab stops (tabs must be set manually) or setting paragraph formats.  
The justify right and center functions in Word do not word properly in Iscriptor templates.  
Using tables whenever practicle will ensure proper text and paragraph alignments  Avoid using autonumber in templates.
